Role 
To ensure all incoming calls are answered and redirected to the person in charge 


Main Responsibilities 
  •  Answer the incoming calls and transfer calls to the person requested
  •  Take responsibility for the entrance and reception areas of FICSA
  •  To welcome and register guests arriving and leaving in the buildings
  •  Receipt, opening and sorting of incoming mail
  •  Receipt of faxes and advising departmental PA’s of receipt for collection at reception
  •  Distributing mail into “pigeon boxes” for collection by departmental assistants
  •  Franking and dispatch of mail each evening
  •  Arranging taxis and DHL couriers, as required
  •  Managing the booking of conference rooms at St. Prex
  •  Update the mailbox, the department list, the Directory St.Prex and the Directory World (intranet)
  •  Update the CH3-Reception “console root”
  •  Opening the main gate for the incoming visitors
  •  Tickets sales meal each day for company  employees, consultants and employees guests
  •  Update the cash book restaurant list each day
  •  Managing the laundry
  •  Sale of stamps, registered letters also for private shipments
  •  Managing all access card for new employees, new temporaries and consultants
  •  Help handyman if necessary 



Required Experience & Skills   
  •  Reasonable fluency in English, French, Spanish and Portuguese
  •  At least 3 years work experience in a customer facing position (e.g., hotel, reception area or similar)
