Job Description : 
The overall responsibility of an Office Manager is to provide vendor and facility support services, as well as general administrative support for the office. 

The scope of responsibilities includes:   
  • management and maintenance of company office.
  • relationship management with a landlord, 
  • analyzing and determining opportunities for cost/waste reduction, presenting clear proposals to a site leader/supervisor and if approved, executing implementation process, 
  • leading communications with external vendors and suppliers, determining most appropriate partners and negotiating the best deals with them, 
  • responsible for office facility orders and purchases, 
  • managing car fleet, 
  • maintaining all necessary office documentation, 
  • working in partnership with HR and function managers on the new hires onboarding process as well as periodical moves of work spaces/work stations and other deliverables, 
  • assuring the premises meet with health and safety requirements/protocols, 
  • partnering HR with regards to Health and Safety and the wellbeing of employees; management of on-site risk assessments and first aid/fire drill trainings, supervising office environment audits, 
  • management of Fire Marshalls/First Aid teams and being responsible for the evacuation procedure, 
  • supervisory role for the Office Coordinator role and administration team.  

Job Requirements : 
  • Bachelor Degree 
  • At least 3 years of office management experience 
  • Strong Interpersonal, relationship and networking skills 
  • Procurement and negotiation skills 
  • High level of ethics and values 
  • Excellent organizational and administration skills, with the ability to manage competing demands in a timely manner 
  • Excellent written & verbal communication skills 
  • Flexible, pro-active approach 
  • Ability to adapt to a changing environment 
  • Resilient individual and positive attitude 
  • Computer literate (Word, Excel, MS Outlook, Databases) 
  • Technical knowledge of the building services and systems nice to have 
  • Able to resolve challenges and make decisions effectively 
  • Very good English – spoken and written 
  • Ability to interact effectively at all levels of staff with sensitivity and cultural diversity
