Responsibilities
  • We are seeking an experienced Office Coordinator for our Discovery site.
  • Provide general reception and office support for the site, including but not limited to: greet and prepare for visitors, receive and distribute mail, answer the office phone, schedule conference rooms, order office supplies, and maintain the visitor log. 
  • Provide administrative support to management: for example creating documents, data entry/verification, scanning, copying, preparing expense reports, and assisting with projects. 
  • Relay information and requests to department members; coordinate and follow-up on action items as needed to ensure completion. 
  • Perform housekeeping duties at the site and maintain cleanliness of office and common areas.
  •  Answer questions and provide assistance relating to office operations and established policies and procedures. 
  • Assist with accepting and handing off courier deliveries. 
  • Assist in the coordination and planning of site events and meetings. Ensure SOP books and training files are updated.

Qualifications
The following are minimum requirements related to the Office Coordinator position.
  • Education:  High School or G.E.D. and specialized secretarial training beyond High School. 
  •  Associate’s degree (A.A. /A.S.) or equivalent from two year college preferred.
  • Experience:  Two to Four years related experience. An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
  • Certification/Licensure:  None.
  •   Other:  Ability to prioritize and multi-task. Good keyboarding skills, proficient in utilizing personal computer, e-mail and standard office software packages (word processing, spreadsheet, presentation). Individual must be resourceful and able to take initiative in a changing workplace environment. Understanding of company policies and practices.
