Project Description

  • Provide administrative support to Marketing Director and Product Managers. 
  • Tasks include: managing calendars, booking travel, assisting with correspondence, formatting documents/ presentations and scheduling meetings with internal and external team members
  • Meeting secretary role: assist with meeting logistics, developing meeting agendas, minutes and maintaining internal portals
  • Responsible for preparing required documents pre-meeting and post-meeting follow-ups
  • Work with external Agency to coordinate meetings for various project plans eg brand planning
  • Work with Product Managers and Agency to assist with the review of marketing materials
  • Assist the Marketing Director and Product Managers with coordination and execution of promotional activities of the marketing plan
  • Manage promotional material inventory via internal website. 
  • Tasks include: monitoring incoming stock, resource allocation planning, distribution and tracking usage
  • Work with external agency to manage patient material inventory.  
  • Ensure materials are ordered in timely manner and monitor usage
  • Liaise with suppliers and agencies to coordinate compilation of specific marketing and congress material (ensuring code compliance and alignment with branding guidelines)
  • Assist Product Manager(s) with tracking of brand budgets, invoices, accruals and reconciliation with finance 
  • Assist Product Managers with programs (eg.conferences) by ensuring compliance standards and processes are met and internal systems are maintained
  • Execute tasks with an understanding of company compliance standards and policies to assist with the review of sponsorship and funding requests from field staff
  • Special projects support required by Marketing Director/ Product Managers
  • Process accounting requests; cheque requests, create POs and new vendor set up

Basic Qualifications
  • 3 years of marketing coordinator experience in Pharmaceutical/Biotech industry
  • Fluency in English, both in oral and written communication

  • Professional communication skills
  • Previous experience working with Sales and Marketing teams
  • Experience in managing projects, multiple tasks and being able to use initiative in coordinating others to achieve outcomes
  • Ability to be proactive with team members
  • Thorough and accurate attention to detail in day to day activities
  • Computer skill proficiency in Microsoft Excel, Word and Power Point
