Description

The China Meeting Services Manager serves as business partner for internal customers to enable strategic value of meetings management and the positive, consistent, safe and cost-effective delivery of Merck meetings.

The Meeting Services Manager is a resource leading marketing and other business unit meeting team operation. The candidate should have a broad knowledge and understanding of most meeting types and be an expert of internal procedures, guidelines and policies within Merck. She/He should understand the inner workings of the broader Strategic Sourcing and Shared Services organization and provide solutions that are rooted in customer service to drive efficiency and leverage company assets. The Meeting Services Manager ensures meetings planning and executing meet customer business requirement and same time comply with company policy and procedure from daily operational perspective.

Additionally, the Meeting Services Manager will work to identify gaps in the organization and makes recommendations for improvements by providing the value-add solution of consolidated meeting and travel services through SSES.

The candidate will be expected to:

Lead teams daily operation and allocate team member resources to serve different types of meetings

*
Facilitate relationships between customers and meeting planning suppliers

*
Solve daily operation issues and escalate to managers on severe issues

*
Demonstrate proficiency in departmental technology tools and reporting data bases

*
Cascade and train policy and procedures to team members

*
Drive Meeting Services exposure within Merck by marketing and educating efforts

*
Monitor team member KPI(key performance indicator) to improve meeting operation quality

*
Streamline operation process to be customer-focused and efficient

*
Strong communication skills for both internal stakeholders and external suppliers

*
Advocate of Strategic Meeting Management Program and influence stakeholders of program values from Compliance, Customer experience and cost perspective

*
Drive stakeholder behavior changes by SMMP program key matrix

Main Activities

Strategic business partner for internal clients and stakeholder communication

Partner with business and understand meeting demand and planning forecast, allocate MS team resource to work with suppliers to operationally delivery their meetings

*
Quarterly meeting operation review with stakeholders

*
Lead meeting planning and operation teams

*
Partner with business and understand meeting demand and planning forecast, allocate Meeting Service team resource to work with suppliers to operationally delivery their meetings

*
Training team members on meeting services SOP

*
Meeting execution and coordinate onsite support resources

*
Monthly accrual coordination and expense tracking

*
Filing and payment coordination

*
Coordination of cross border meeting with Meeting Service team AP region

*
Compliance control - ensures Meeting Service team members follow SOP and meet compliance requirement and pass MCAAS review

*
Maintaining customer centricity and service excellence

*
Embrace and champion change, foster innovation, focus on the customer, demonstrate courage and collaborate across all divisions

*
Communicate actively with related functions to strive for process efficiency and effectiveness

*
People management and development

Qualifications

Required

- 6+ Years in Meetings Management/ Travel experience

- Good oral and written English

- Good communication skills and cross functional cooperation

Preferred

- People Management experience

- Experience with Sales/Marketing Processes

- Meeting management experience in a corporate environment or travel industry

- Meeting management in pharmaceutical industry is preferred
