Executive Management Assistant PPSI - Belgium

- Provide executive administrative and technical support to the PPSI Mission.
- Coordinates activities, shares best practices with other administrative assistants, and maintains professional relationships with key stakeholders locally and globally. Ensures timely completion of quality deliverables in a proactive manner.
- Manage agenda, calls, emails and correspondence, as well as meetings organization and business travel for the Mission team, making independent decisions on attendance/ conflicting meeting requests
- Support to the team for travel arrangements including flight reservations, hotel accommodations, and expense report processing
- Act as liaison between the team and external/internal contacts
- Draft and distribute meeting minutes as needed
- Provide and/or supervise assistance and logistical support on global and local events
- Support the team in the management of contracts and responsible for PR/PO process
- Proactively assist the Mission Project Manager in coordinating budget and timeline tracking
- Improve or optimize working methods and procedures
- Complete adhoc projects that may be assigned.
- Excellent written and verbal communications skills in English
- Ability prioritize concurrent assignments and meet timelines
- Proactive with excellent planning and organizational skills to ensure effective and timely output independently
- Strong detail orientation
- Work within an international team environment with good cultural sensitivity
- Professionally interact with all levels in the organization and external collaborators
- Maintain confidential information.
