The Associate Director, US Medical Affairs Operations, as part of the US Medical Affairs Oncology (USMAO) team, will provide strategic, technical, process and operational leadership in the area of project management to multiple teams and functions across U.S. Medical Affairs within Global Medical Affairs (GMA) Oncology)
This position works across products to ensure the successful completion and delivery of US function-level deliverables, leads the development and implementation of US medical dashboards, tools and systems; and performs as a key member of USMAO leadership team. This position works proactively with the U.S. medical affairs directors to operationalize the US Medical Affairs strategy and drive its implementation. This role also researches and shares best practices across the pharmaceutical industry in the US. The Associate Director will also be responsible for identifying gaps in process and providing solutions to improve efficiency, reduce risk, and improve process compliance. The Associate Director will also work closely with the Director of GMA Operations to ensure appropriate tools and templates are developed to prioritize and align USMAO plans and relevant budget components within the overall GMA template.
Ensure operational excellence
Build, develop and establish the new USMAO organizational framework: processes, tools, best practices. Provide strong leadership to enable USMAO to deliver program and process management expertise.
Ensure USMAO project management personnel have a keen sense and understanding of GMA functions, processes, and challenges; work with other GMA Directors/Associate Directors to implement processes in a timely and effective manner. Drives business value by leveraging business/technology expertise to identify and prioritize solutions and by collaborating across departments to deliver multiple complex projects with significant business impact. This includes building capabilities of USMAO leaders to develop/sustain a climate that allows for success and increased business performance.
Works with MSL leadership team to define the process for medical insight capture and with MSL molecule leads to develop quarterly scientific exchange topics.
Ensure that USMAO–strategic, tactical, and related budget plans are developed and maintained and that information is effectively utilized by USMAO molecule teams and its sub-teams.
Ensure that budgets related to the USMAO molecule team deliverables are appropriately consolidated and that budget issues are identified and communicated as appropriate.
Identify issues and obstacles that could impact the timely completion of USMAO team deliverables and resolve them with team members and/or the relevant functional management.
Prioritize resources and projects across therapeutic areas based on department objectives.
Collaborate with other OBU and OTAU groups in support of further developing project management capabilities across the organization.
Communicate effectively with global partners in an appropriate and useful time frame.
Develop, implement and maintain global project management systems across USMAO and integrate within the GMA Oncology function
- Leads the overall development of USMAO tactical plans, including compliance/legal reviews, budget management for US medical programs (including PO request submissions, monthly accruals, and performance reporting).
- In coordination with GOBU team members and with support from GMA Operations, assembles and manages US medical affairs cross-functional projects, defines and tracks the progress of projects, outlines key strategic objectives and operational plans for each project, and ensures timelines are met and other needs are defined and tracked.
- Under direction of USMAO medical directors, implement the strategic direction for US Medical Affairs Excellence initiatives including coordination of development of KPIs for USMAO.
- Leads activities of regional MSL field trainers to ensure MSL on-boarding and development strategies are in place.
- Partners with legal and compliance in designing a smooth review process for all US Medical Affairs initiatives and materials, such as medical research preparation, support for creation of internal training materials (eg, MSL and disease state core slides).
- Serves as the business lead for Veeva Medical CRM platform and provide oversight and training to the MSL team.
- Identifies and utilizes appropriate learning technologies to maximize efficiency and effectiveness in training for USMAO
- Leads creation of real-time monitoring and analysis of KPIs, developing standard reporting models to aid decision making and overall strategy.
- Identify and implement tools and templates that support prioritization, planning, evaluation and risk mitigation across teams and therapeutic areas.
- Direct and lead continuous improvement of processes and supporting tools to determine best practices and appropriate resource needs, including budget, tools, and personnel
EDUCATION, EXPERIENCE, BEHAVIORAL COMPETENCIES AND SKILLS:
Bachelor’s degree in science or business-related field
8 years of project management experience within the pharmaceutical industry in the area of medical affairs or research and development
Experience implementing systems and processes for support of cross-functional activities
Demonstrated ability to clearly and concisely communicate/present key information to senior management
Demonstrated ability to build consensus and drive resolution of issues while maintaining positive working relationships across functions Proven ability to work in a complex matrix environment.
The position requires very strong interpersonal skills, oral and written communication skills, analytical capabilities (including financial), project management, and the ability to manage and drive multiple projects.
Ability to engage senior commercial leaders and clearly articulate strategic objectives of the US medical affairs – Oncology organization
Demonstrated leadership skills managing matrix teams, influencing outcomes and key project decisions
Experience establishing and managing global teams across geographic regions
