Project Description

Amgen South San Francisco location is seeking an Administrative Coordinator (AC) to join the Cardio Metabolic Disorders Therapeutic group and will support Executive Directors, Directors and other staff.

The role of the Administrative Coordinator is to perform a variety of complex administrative support activities; to assist in report generation as requested; to facilitate tracking of deliverables and timelines as directed; and to manage the coordination of meeting logistics, minutes and other duties as assigned.

Key responsibilities include:
Managing calendars and scheduling meetings for individuals and teams
Organizes departmental and cross-functional team events, and meetings, including meeting start-up, catering, equipment needs, agenda preparation, collection/distribution of pre-reads and meeting minutes
Ordering office supplies
Arranging purchase orders
Making travel arrangements & preparing expense reports
Coordinate visitor arrangements, travel, accommodations and meeting arrangements
Managing departmental administrative files
Maintaining distribution, contact and personnel lists
Managing the administrative aspects of relationships with outside experts and vendors
Provide backup support to additional department ACs
Assisting with special projects
Schedules and coordinates candidate interviews
Obtains office space, equipment and supplies for new staff members and helps sets up offices prior to start date
Determines best approach and presentation when preparing and formatting correspondence, memoranda, reports and presentations
Submit IS Help Desk work orders
Coordinates and manages documents in EDM Teams and SharePoint
Creates efficient and user-friendly templates for procedures and reports
Identifies process-improvement opportunities
Makes decisions based on knowledge of staff needs and available resources
Uses the latest technology to solves business problems

Basic Qualifications
Associate’s degree & 2 years of Administrative experience
High school diploma/GED & 4 years of Administrative experience

Preferred Qualifications
Amgen experience
Bachelor’s degree
Experience working in biopharma industry
5+ years of experience in an administrative support role supporting large teams at different levels
Managing multiple calendars including coordination across multiple time zones
Proactive, organized, and highly effective communicator (interpersonal, verbal, written)
Ability to understand the research roles at a high level
Advanced knowledge of MS Outlook, Excel, PowerPoint, and Word (i.e. word processing, presentations, and spreadsheet skills) as well as Concur, Sharepoint, and the Learning Management System at Amgen
Ability to manage multiple projects and responsibilities
Experience providing administrative support to remote staff
Outstanding organizational and interpersonal skills
Ability to work in a fast-paced, deadline-driven environment
Discretion in dealing with proprietary information
