The role is responsible for the independent delivery of profound administrative services in a local and a global context and the coordination of specific communication matters related to Elanco External Manufacturing (EEM). The position holder supports specific projects from an administrative perspective and is a resourceful and trustworthy team player who likes to work independently.

90% General administrative support:
Take care of all general administrative tasks and maintain administrative processes, e.g.
  • manage calendar of Sr. Director Elanco External Manufacturing
  • arrange business trips and handle the travel expenses for the EEM leadership team
  • organize meetings and events for the EEM leadership team, incl. writing of minutes
  • write correspondence independently and prepare presentation drafts for Sr. Director EEM
  • support departmental hiring activities (inviting candidates for interviews, compiling interview agenda etc.) and administrative onboarding of new hires in EEM
  • participates in projects and leads administrative aspects
  • Sharepoint administration and filing
  • inform, advise and support the team and employees from outside the team on processes, guidelines and services that are specific to the department
  • supports optimization of current processes and/or introduction of new or modified processes
  • Compliance: drives compliance initiatives in EEM
10% Communication support:
  • Help develop and implement internal EEM communication materials.
  • Coordinate cascade of communications to site, network with communication responsible at other hubs.
  • Support key events such as town halls and/or leadership events etc.

  • Commercial training or equivalent (e.g. other vocational qualification, must have very good administrative skills/experience).
  • Experience as „Administrative Assistant“ or additional career training.
  • High proficiency in written and spoken English.
  • High level of self-motivation and proactivity.
  • Excellent organizational skills.
  • Flexible and agile personality.
  • Strong communication and interpersonal skills.
  • Knowledge of other languages (e.g. German, French) advantageous.
  • Reports to: Sr Director – Elanco External Manufacturing (EEM)
  • Location: Basel, Switzerland
  • Travel requirements: occasional (<5%)
